Managing services on a booking

Add, change, or remove services on an existing booking without having to delete and recreate it.

A booking starts with the service(s) chosen at creation, but those aren't locked in. From the booking detail page you can add another service, swap one service for a different offering, or remove a service that's no longer needed — useful when plans change between booking and visit.

The one constraint: a service that's already been delivered can't be changed or removed. Once the encounter form is submitted, the service is part of the customer's clinical record and amending it goes through the encounter, not the booking.

Where a service sits in its lifecycle

Each service on a booking moves through three phases. The action that's on offer for the service depends on which phase it's in:

  • Scheduled — the service is on the booking but no encounter has been started yet. The service row offers the usual add / change / remove actions, and the encounter button reads Record Encounter.
  • In progress — the encounter has been started (forms partially filled, kiosk in flight, vaccination details captured) but not yet submitted. The encounter button still reads Record Encounter so you can resume where you left off; change and remove are still allowed.
  • Completed — the encounter has been submitted. The button switches to View Encounter, the service can't be changed or removed, and the service is part of the customer's clinical record.

To start the encounter, open the booking and tap Record Encounter on the service. For vaccinations, the encounter form captures the vaccine details and submits to AIR — see Recording a vaccination for the full walk-through.

Adding a service

Adds an additional customer and service offering to the same booking slot — useful when a family member tags along, or the same customer books a follow-up to an existing appointment.

  1. Open the booking

    Find the booking from Bookings, the Calendar, or the Dashboard.

  2. Tap Add on the services card

    On the services card, tap Add. The Add service sheet opens.

  3. Pick customer and service

    Tap Add customer to open the customer picker. Search for an existing customer, or create one inline if they aren't on file yet.

    Then pick the Service offering. Available offerings come from the same booking slot's service definitions — you can't add a service the site doesn't deliver.

  4. Add

    Tap Add. The service appears on the booking and the customer's profile. A toast confirms: "Service added".

Changing a service

Swap the selected offering on an existing attendee — for example, the customer booked in for flu but they've decided to get COVID-19 instead.

  1. Open the service menu

    On the booking detail page, open the actions menu on the service row and choose Change service. The Change service sheet opens.

  2. Pick the new offering

    Select the new service under New service. If the previous offering had a voucher attached, Light tries to carry it across — if the voucher applies to the new service it's re-attached automatically; if it doesn't, the sheet shows a warning and the voucher is released.

  3. Change

    Tap Change. The booking updates and the customer's service record now points at the new offering.

Not available when: the encounter has been submitted. Change is disabled on completed services.

Removing a service

Drops a service off a booking without deleting the booking itself — useful when one of several attendees pulls out but the rest are still coming.

  1. Open the service menu

    On the booking detail page, open the actions menu on the service row and choose Remove service. Light asks for confirmation in the Remove service dialog.

  2. Confirm

    Tap Remove. The service is removed, any voucher on it is released, and a toast confirms removal.

If the service can't be removed, the dialog says why and offers only Close. A service can't be removed when:

  • it has a claim or an AIR submission
  • the encounter has been submitted
  • it's the only service left on the booking – delete the booking instead, see Deleting a booking
  • the booking is cancelled or held

Vouchers and services

Each service keeps its own voucher independently. Adding a service doesn't carry a voucher across; changing a service tries to move the voucher to the new offering and releases it if it doesn't apply; removing a service releases its voucher.
