Adding a team member
Add a user to your site so they can sign in to Light.
Team members are the people at your site who can sign in to Light. Adding a user links their email to your site — if they already have a Light account, they can sign in immediately; if not, they'll set up an account when they first receive access.
Steps
- Open the Team page
Go to Settings›Team. The users table lists everyone at your site.
- Add a user
Tap Add. The Add User sheet opens.
- Enter name and email
Fill in the user's name and email address.
If the email matches an existing Light account, the user is linked automatically — they'll see your site next time they sign in. Otherwise, the user needs to create an account with that email.
- Save
The user appears in the table. Their Last Active is empty until they first sign in.
Editing a user's details
Open the row menu and tap Edit. You can change the name or email for users who haven't yet activated an account. Users with active accounts manage their own name and email — the edit sheet shows a note saying so.
Team members vs Staff resources
A team member is a user. A Staff resource (created at Settings›Resources) is a bookable entity that may or may not represent a real user.
If the user delivers services directly (a pharmacist taking appointments), create a Staff resource that represents them — on the resource, the represents-user field links the two. Bookings against that resource now appear on the user's workload.
Team members without an associated Staff resource can still sign in and use Light; they're just not themselves bookable.
Adding an immuniser (vaccinator)
There's no separate "Add Immuniser" or "Add Vaccinator" flow — an immuniser in Light is a Staff resource carrying the immuniser tag, which lets services that require an immuniser match against them in dynamic availability.
To add one:
- Add the person as a team member with the steps above (so they can sign in).
- Create a Staff resource for them at Settings›Resources and link it to their user account. See Adding a resource.
- On the resource, add
immuniser(or your site's equivalent capability tag) under Tags.
Roles
Every user has a role that determines their permissions across the site. Roles aren't selectable from the Team page today — they're set server-side when the user is created. Speak to your Light contact if a user's role needs to change.
