Adding a resource

Create a room, staff member, or piece of equipment as a bookable resource.

Resources are the rooms, staff, and equipment your services need to run. Each resource has its own availability and can be linked to one or more services.

Before adding, check the resource doesn't already exist — duplicates split bookings across records.

Steps

  1. Open Resources

    Go to Settings›Resources. Tap Add.

  2. Pick the kind

    Choose what kind of resource it is — Room, Staff (a user), Equipment, or any other kind configured for your site.

    If you pick Staff, you'll also need to select which user the resource represents. To set the person up as an immuniser (vaccinator), pick Staff here and add the immuniser tag in the next step — there's no separate immuniser kind.

  3. Name it

    Give the resource a name staff will recognise — "Consultation Room A", "Pharmacist Sarah", "Vaccination Trolley 2". An identifier is auto-generated from the name; change it if you need a specific code.

  4. Optional fields
    • Description — internal notes about the resource
    • Colour and icon — how it appears on the calendar
    • Tags — short labels for dynamic service matching (e.g. "immuniser", "consult-room", "refrigerator")
  5. Set availability mode
    • Follow site hours — the resource is available whenever your pharmacy is open. Most resources use this.
    • Custom schedule — the resource has its own weekly schedule, independent of site hours. Use for part-time staff or specialist rooms.
    • Virtual — always available. Use for non-physical resources (phone lines, virtual consultation slots).
  6. Save

    The resource appears in the list and is immediately available for linking to services.

Linking to services

Resources don't start bookable until at least one service links to them. The linking happens from the service side — see Configuring a service.

The resource detail page shows which services currently link to it, under the Linked Services tab.

Tags and dynamic matching

Tags let services match resources by capability rather than by name. A service configured in Dynamic availability mode might require "any resource tagged immuniser", picking whichever immuniser-tagged staff member is free.

Assigning tags

The Tags field in the create and edit resource sheets is a type-to-pick input. As you type, Light suggests tag values already used elsewhere on the site — tap one to assign it. If no match exists, a Create "…" option appears at the bottom of the dropdown; picking it assigns the new tag value and makes it available as a suggestion on future resources.

Tag values are stored per resource. There's no central management page — to rename or retire a tag, edit each resource that carries it. The suggestion list only shows values still in use.

Tag format

A tag can be a bare value (immuniser) or a grouped value (capability: immuniser). Grouped tags render as "capability: immuniser" on the resource's chip in the list.
