Managing resource availability
Set a resource's schedule, override site hours, or mark it virtual.
Every resource has an availability mode that determines when it's bookable. Changing mode is how you handle part-time staff, specialist rooms, or virtual services.
The three modes
| Mode | When to use |
|---|---|
| Follow site hours | The resource is available whenever your pharmacy is open. Most rooms and full-time staff. |
| Custom schedule | The resource has its own weekly schedule, independent of trading hours. Part-time staff, specialist rooms, equipment that's only available on certain days. |
| Virtual | The resource is always available — no schedule constraint. Use for non-physical resources like phone consultation slots. |
Custom schedules
For a resource with its own schedule:
- Configure each day as open (with time ranges) or closed
- At least one day must be open — a resource can't be set to "closed every day"
- The schedule shows on the resource's detail page as a day-based table
Overriding site hours
Custom-schedule resources can optionally be bookable outside site trading hours. Useful for:
- After-hours emergency-contact staff
- Equipment reserved for out-of-hours use
- Specialist rooms booked by a separate organisation that operates on different hours
On the resource, the flag appears as "Bookable outside of site hours: Yes/No". When Yes, the resource ignores trading hours; when No, its custom schedule is still capped by site hours.
Changing mode
Changing availability mode applies to future bookings. Existing bookings keep their times — no retroactive rescheduling. If the change would make existing bookings invalid (e.g. switching a resource from always-available virtual to a restricted custom schedule), you may need to reschedule or delete them manually.
Configuration issues
A resource with a misconfigured availability mode shows a Configuration issues badge on its list row. Common issues:
- Custom-schedule resource with no days enabled
- Virtual resource linked to a service that requires a physical resource
Open the resource to see the specific issue and fix it — usually a one-tap adjustment.
When to use a block instead
If a resource is unavailable for a specific date rather than on a recurring basis (a pharmacist's annual leave, a room in use for training), create a time block on the calendar rather than changing availability mode. See Blocking time on the calendar.
