Connecting PRODA and AIR
Activate a PRODA B2B device and submit the HW027 form to enable AIR services.
PRODA (Provider Digital Access) is the gateway to the Australian Immunisation Register (AIR). Without an active PRODA device, AIR submissions can't go through — every vaccination stays local to Light.
Connecting is a three-step process: enter AIR credentials, activate a PRODA device with an activation code, then submit the HW027 form.
Before you start
You'll need:
- AIR Provider Number (8 digits, or the
A#####Bformat) - Organisation ID (PRODA RA) from your PRODA account
- Device activation code (OTAC) generated in PRODA for this device
- HPIO number — optional, recommended if you have one
- Authority to submit an HW027 (Online Claiming Provider Agreement) on behalf of the pharmacy
Steps
- Enter AIR credentials
Go to Settings›Integrations. On the Australian Immunisation Register (AIR via PRODA) card, tap Activate, then Configure AIR Integration.
Enter:
- AIR Provider Number — required
- Organisation ID (PRODA RA) — required
- HPIO Number — optional
Save. Light generates an AIR Minor ID automatically — this identifies your site within AIR.
- Register the PRODA device
Next, tap Register PRODA B2B Device. Paste the Device Activation Code (OTAC) you generated in PRODA.
Light creates the device name and submits activation to PRODA. PRODA returns the device credentials, which Light stores securely.
- Submit the HW027
PRODA requires an Online Claiming Provider Agreement (HW027) before AIR services become active. Tap the dropdown next to View and choose Online Claiming Provider Agreement (HW027).
The form is pre-filled from your site details. Complete any remaining fields, sign the declaration at the bottom of the sheet (draw or type), then either:
- Tap Send to submit the form to Services Australia directly from Light. A copy also downloads for your records.
- Tap Download to save a copy and submit it yourself via PRODA or by email.
Send emails the form to Services Australia and BCCs your site email for your records. You'll need a site email set under Settings›Site for this option to work.
- Wait for processing
After HW027 submission, PRODA processes your registration — typically a few minutes, sometimes longer. During this time, the card shows "Authorisation pending". Once PRODA confirms, the card transitions to Connected and AIR services are live.
What connection enables
- AIR submissions for vaccinations recorded against customers
- Immunisation history display on customer profiles
- Due vaccinations reflecting AIR's recommendations for each customer
- Default vaccines option on vaccination encounter forms (toggled per site)
Device expiry and renewal
PRODA devices expire. Light warns you:
- 30 days before — footer message and warning badge
- On expiry — card shows "Your PRODA device has expired"; AIR services stop until you reactivate
To renew, open the PRODA portal, renew the device there, then Reactivate Device on the Light card with the new activation code. Credentials and AIR Minor ID stay the same; only the device is refreshed.
Related settings
After PRODA is active, the card's dropdown offers:
- View — see connection details
- Edit Credentials — change provider number or organisation ID
- Reactivate Device — renew after expiry
- Online Claiming Provider Agreement (HW027) — resubmit if needed
- Remove — disconnect (destructive)
