Connecting PPA
Link Light to the Pharmacy Programs Administrator for claim submission.
PPA (Pharmacy Programs Administrator) is the destination for claims under CVCP, NIPVIP, MedsCheck, Diabetes MedsCheck, QLD Free Flu, and other funded programs. Connecting PPA is what lets you submit claims from Light — without it, prepared claims sit waiting indefinitely.
Before you start
You'll need:
- User ID — a UUID from your PPA Portal
- API Key — issued to your site from the PPA Portal
- Knowledge of which provider you'll be claiming under if you have multiple
Your PPA API Key may be shared across your pharmacy software. If you generate a new key in the PPA Portal, update it in all platforms at the same time — otherwise claim submission stops in your other systems.
Steps
- Open PPA integration
Go to Settings›Integrations. On the Pharmacy Programs Administrator (PPA) card, tap Get Started (or Connect).
- Enter credentials
The Connect to PPA sheet opens. Enter:
- User ID — UUID from the PPA Portal
- API Key — your site's API key
Save. Light tests the credentials against PPA immediately.
- Select a provider
If the credentials are valid, PPA returns the list of providers authorised for your site. Select the provider you'll claim under.
After selection, Light fetches the registered programs for that provider and caches them. The card shows the program count.
What connection enables
- Claim submission via the Submit Claim action on the Claims page
- Claim type inference — Light knows which programs are available to you and prepares appropriate claims when services are delivered
- Provider-specific behaviour — different providers have different program registrations; Light surfaces only what's available to your selected provider
Changing provider or credentials
Use the dropdown next to View on the PPA card:
- Change Provider — pick a different provider from the list (requires current credentials to be valid)
- Update API Key — enter a new API Key; User ID stays the same
- Remove — disconnect entirely; you'll need to re-enter credentials to submit claims again
When credentials expire
Keys can expire or be rotated in the PPA Portal. When that happens:
- The card status becomes Authentication failed
- The footer shows: "PPA credentials are invalid or expired. Update your API key to continue submitting claims."
- Claim submissions fail until you update the key
Generate a new key in the PPA Portal, then use Update API Key on the Light card.
PPA and AIR work together
PPA claims for vaccinations generally require the vaccination to also be recorded in AIR. If PRODA isn't connected, AIR submissions fail, and PPA claims for those vaccinations may be refused at submission or rejected by PPA later.
